Technical requirements on the participant side
We use the online service “Zoom” for online meetings and consultations.
Participation via the online service “Zoom” works quite straightforward on almost all end devices, PCs and laptops and is possible in almost all browsers. However, it is best to download the Zoom app and participate via this app. Here you can click “Join a meeting” and then enter meeting ID and passcode.
A stable internet connection is required.
We generally recommend attending on a laptop or PC, as presentations are easier to read on larger screens.
Loudspeakers/headphones/headset: In order to hear the contents of the online seminar, you must of course have headphones or loudspeakers connected to your PC/laptop. If you want to make your own contributions, you must have a microphone connected. In this case it is recommended to use a headset. A webcam is required to transmit your image as a participant. Group seminars do not necessarily require you to participate with sound and vision; here you can ask your questions by virtual hand signal or in the chat. However, if the seminar/consultation is designed for exchange and direct communication, we ask you to make sure that image and sound transmission is possible on your part.
Please note that we are generally not responsible for any disruptions that occur due to non-observance of the technical requirements on your side.

Desktop PC or notebook/laptop:
Please use a desktop PC or notebook/laptop to participate in your online event.
Operating System:
Windows 7 or a more recent version
Mac OS X version 10.8 or higher
Internet Access:
Ideally, access is via DSL / cable with at least 256Kbit/s bandwidth. We recommend 512Kbit/s.
Working headset and camera:
Please use a headset in your online event. This will significantly improve the sound quality for you and the other participants.
Also, make sure that the headset is connected to the computer and is set as the output medium.
If you are attending your event with a desktop PC, an external webcam is recommended.

Registration conditions
Registration and data storage
Registration is done online on our homepage.
We use the Simply Schedule Appointments plugin to book appointments.
- Types of data processed: inventory data (e.g. names, addresses), contact data (e.g. email, phone numbers), content data (e.g. entries in online forms), usage data (e.g. websites visited, interest in content, access times), meta/communication data (e.g. device information, IP addresses).
- Data subjects: Communication partners, users (e.g. website visitors, users of online services).
- Purposes of processing: contact requests and communication.
- Legal bases: consent (Art. 6 para. 1 p. 1 lit. a. DSGVO), contract performance and pre-contractual inquiries (Art. 6 para. 1 p. 1 lit. b. DSGVO), legitimate interests (Art. 6 para. 1 p. 1 lit. f. DSGVO).
Independent of this registration platform, we store your data in the form of invoices, lists of participants, confirmations of participation and correspondence in electronic form in our EDP system. We do not pass on your data to third parties.
After receipt of your registration you will receive a confirmation of registration by e‑mail. We will send you the invoice separately, also by e‑mail. The participation fee is to be transferred to the account indicated on the invoice within the payment period of two weeks — but in any case before the seminar begins. In the case of registrations at short notice, if payment cannot be made before the start of the seminar / before the start of the online consultation, the invoice amount is due within the stated payment deadline.
You will receive the participation link after registration.
Invoice dispatch by mail
Herbak Consulting S.L.U. usually sends invoices in electronic form (invoice dispatch by e‑mail).
Method of payment
Consulting fees are generally paid in advance by bank transfer. Exceptionally, in case of short-term registration, the fee will be due within the stated payment term in the invoice.
Minimum number of participants
Events with a stated minimum number of participants can only take place if the stated minimum number of participants is reached. In the event of a cancellation, you will be notified in good time and your seminar fee will be refunded.
Cancellation
Up to four weeks before the online seminar / start of online consulting, you can cancel free of charge at any time.
Between the fourth and the second week (14 days) before the start of the seminar, we charge a processing fee of 70% of the seminar fee.
From the second week before the start of the seminar, 90% of the seminar fee is due.
If participants do not show up without notification, we reserve the right to withhold or charge the full price.
Seminar cancellation
In case of cancellation of the seminar, or of a speaker, we will offer you an alternative date if possible. If the terminal alternatives are not possible for you, you can either choose an equivalent alternative seminar, receive a voucher from us for the seminar fee paid or we will refund the participation fee.
Legal basis for data processing for seminars and online seminars:
The legal basis for data processing when registering for and conducting seminars and online seminars is Art. 6 (1) lit. b) DSGVO. Based on the registration for our online seminars, a contractual relationship arises between Herbak Consulting S.L.U. and you.
Offer of online seminars
Our offer of online seminars and online consultations is exclusively for information and training purposes. This offer takes place online. During consultations it is always possible to ask subject-related questions. We do not record our seminars. For the purpose of following up on online seminars, any questions asked by seminar and consultation participants are processed.
What data is processed?
In order to participate in an online seminar/consultation, you must partially enter your name and, if applicable, your email address on the respective platform. Metadata is also processed: Seminar topic, description, participant IP addresses, device/hardware information.
Text, audio and video data: you have the option of using the chat, question or survey functions in an “online meeting”. To this extent, the text entries you make are processed in order to display them in the online training.
The camera and microphone are only active if you allow them to be. If participants wish to make spoken contributions, the microphone and, if necessary, the camera can be enabled on a case-by-case basis. However, the camera and microphone will never be enabled without your consent. In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device as well as from any video camera of the terminal device will be processed accordingly for the duration of the release.
In exchange-oriented consultations, seminars or workshops, it is precisely the interaction that is conceptually intended and therefore the camera and microphone release is desired. Nevertheless, you also decide here whether image and sound are released. Before participating in our services, please check in advance whether you wish to take part in such a seminar.
Note: Insofar as you access the website of “Zoom”, the provider of “Zoom” is responsible for data processing. You can participate in an online seminar via “Zoom” by downloading and using the “Zoom” app. If you do not want to or cannot use the “Zoom” app, then the basic functions can also be used via a browser version, which you can also find on the “Zoom” website.
Data processing outside the European Union
“Zoom” is a service provided by a provider from the USA. A processing of personal data therefore also takes place in a third country. We have concluded an order processing agreement with the provider of “Zoom” through our contractual relationship, which complies with the requirements of Art. 28 DSGVO. An adequate level of data protection is guaranteed on the one hand by the “Privacy Shield” certification of Zoom Video Communications, Inc. and on the other hand by the conclusion of the so-called EU standard contractual clauses. SSL encryption when visiting our homepage
To protect the security of your data during transmission, we use state-of-the-art encryption methods (e.g. SSL) via HTTPS.
Changes to our privacy policy
We reserve the right to adapt this data protection declaration so that it always complies with the current legal requirements or in order to implement changes to our services in the data protection declaration, e.g. when introducing new services. The new privacy policy will then apply to your next visit.
